Job Title: Document Management System (DMS) Vendors Manager

Reports to: Director of Information Technology

Job Purpose:

The DMS Vendors Manager is responsible for managing relationships with document management system vendors to ensure the delivery of high-quality solutions that meet the needs of the organization. This role involves managing the entire lifecycle of vendor management, from vendor selection and contracting to ongoing vendor performance management.

Key Responsibilities:

  • Identify and evaluate document management system vendors and solutions that meet the needs of the organization
  • Negotiate vendor contracts and agreements, ensuring that terms and conditions are favorable to the organization
  • Manage vendor relationships, including monitoring vendor performance and ensuring that vendors deliver solutions that meet contractual obligations
  • Collaborate with internal stakeholders to ensure that vendor solutions align with organizational needs
  • Manage vendor communications, including issue resolution and change management
  • Work with the Director of Information Technology to develop vendor performance metrics and evaluate vendor performance against these metrics
  • Manage vendor risk and ensure that vendors comply with organizational policies and regulations
  • Manage the vendor budget, ensuring that vendor costs are tracked and controlled
  • Develop and maintain vendor management policies and procedures
  • Keep up to date with industry trends and developments in document management systems

Qualifications:

  • Bachelor’s degree in Information Technology, Business Administration, or related field
  • At least 5 years of experience in vendor management or a related field
  • Demonstrated experience managing vendor relationships and negotiating contracts
  • Experience in document management system solutions is preferred
  • Excellent communication skills, both verbal and written
  • Strong analytical and problem-solving skills
  • Ability to work collaboratively with stakeholders across the organization
  • Strong project management skills
